Note: This Privacy Policy governs information collected through our website. It does not govern protected health information (PHI) collected in the course of providing clinical or mental health services — that information is governed separately by our HIPAA Notice of Privacy Practices.

Who We Are

California Psychological Services, Inc. (“Company,” “we,” “us,” or “our”) is a licensed psychological services organization headquartered in California. We operate this website to provide information about our services and clinicians, and to allow prospective and current clients to contact us.

This Privacy Policy describes how we collect, use, disclose, and protect personal information when you visit our website or submit information through our contact form. It does not govern the collection or use of protected health information (“PHI”) gathered in the course of providing clinical or mental health services — that information is governed separately by our HIPAA Notice of Privacy Practices.

Scope of This Policy

This Policy applies to all visitors to our website, regardless of geographic location. California residents are additionally protected by the California Consumer Privacy Act of 2018, as amended by the California Privacy Rights Act of 2020 (collectively “CCPA/CPRA”), and we describe those rights specifically in Section 7.

Important: Please do not include sensitive protected health information (PHI), diagnoses, medication names, or detailed clinical information in your contact form message. This form is not a secure clinical communication channel. Once you become a client, your clinician will provide you with a secure method of communication.

Tracking Technologies & Analytics

4.1 Google Analytics

We use Google Analytics, a web analytics service provided by Google LLC. Google Analytics uses cookies and similar technologies to collect and analyze information about how visitors use our site. This data may include your IP address (which Google anonymizes when we enable IP anonymization), pages visited, session duration, and demographic or interest inferences.

Google may use the data collected to contextualize and personalize the ads of its own advertising network. You can opt out by installing the Google Analytics Opt-out Browser Add-on. Google’s privacy policy is available at policies.google.com/privacy.

4.2 Other Tracking Software

We may use additional third-party analytics, marketing, or performance tools, which may include session recording tools, heatmapping software, or advertising pixels. These tools may independently set cookies or use similar tracking technologies. We will update this Policy as we add or change such tools.

4.4 Do Not Track

Our website does not currently respond to browser “Do Not Track” signals. California law (California Business & Professions Code § 22575) requires us to disclose how we respond to such signals — we are disclosing that we do not alter our data collection practices in response to DNT signals.

Service Providers

We share information with trusted vendors who assist us in operating our website, conducting analytics, and managing communications (e.g., website hosting providers, Google LLC for Analytics). We also engage Harbor Business Management LLC as a third-party practice management company to support administrative functions such as billing, scheduling, and general business operations. These service providers are contractually obligated to use your information only as directed by us and in accordance with applicable law.

Legal Requirements

We may disclose information when required by law, subpoena, court order, or governmental authority, or when we believe disclosure is necessary to protect the rights, property, or safety of our company, our clients, or others.

Business Transfers

In the event of a merger, acquisition, reorganization, or sale of assets, personal information may be transferred as part of that transaction. We will notify you via website notice of any such change.

With Your Consent

We may share your information for any other purpose with your prior express consent.

Our website features profiles of therapists affiliated with California Psychological Services, Inc. This listing is not exhaustive and does not constitute a complete roster of all our clinicians.

Your California Privacy Rights (CCPA/CPRA)

If you are a California resident, the CCPA/CPRA grants you the following rights with respect to your personal information:

Right to Know

You may request disclosure of the categories and specific pieces of personal information we have collected about you, the sources, the purposes, and the third parties with whom it has been shared.

Right to Delete

You may request deletion of personal information we have collected from you, subject to certain exceptions (e.g., completing a transaction, complying with a legal obligation).

Right to Correct

You may request that we correct inaccurate personal information we maintain about you.

Right to Opt-Out of Sale/Sharing

You have the right to direct us not to sell or share your personal information with third parties. See Section 8.

Right to Limit Sensitive PI Use

You have the right to limit our use of sensitive personal information to that which is necessary to provide services. See Section 9.

Right to Non-Discrimination

We will not deny you services, charge you different prices, or provide a different level of quality because you exercised your rights.

Right to Data Portability

You may request a portable copy of your personal information in a format that allows you to transmit it to another entity.

How to Submit a Request

To submit a verifiable consumer request, please contact us using the information in Section 15. We will verify your identity before processing your request. You may designate an authorized agent to submit requests on your behalf; such agent must provide written authorization from you.

We will respond to verifiable requests within 45 calendar days. If we require additional time (up to 90 days total), we will inform you of the reason for the extension within the initial 45-day period. You may submit up to two requests per 12-month period at no charge.

Do Not Sell or Share My Personal Information

We do not sell personal information for monetary compensation. However, under the CCPA/CPRA, sharing personal information with third-party analytics providers (such as Google Analytics) for cross-context behavioral advertising purposes may qualify as “sharing.” You have the right to opt out of such sharing.

To opt out, you may:

  1. Install the Google Analytics Opt-out Browser Add-on
  2. Use a browser with Global Privacy Control (GPC) enabled — we honor GPC signals as required by California law
  3. Contact us directly at the address in Section 15 to request opt-out

We will process GPC signals from California residents as valid opt-out requests under the CPRA.

Sensitive Personal Information

We do not intentionally collect sensitive personal information through our website contact form. However, if you voluntarily include such information in a message (such as health information), we will use it only to respond to your inquiry and will not use it for inferring characteristics about you or for secondary purposes without your explicit consent.

Protected health information (PHI) collected in the context of clinical services is governed by our HIPAA Notice of Privacy Practices, not this Policy.

Data Retention

We retain personal information collected through our contact form for as long as necessary to fulfill the purpose for which it was collected, respond to your inquiry, and comply with applicable legal requirements. Analytics data collected by third parties such as Google Analytics is subject to their respective retention policies.

When personal information is no longer needed, we take reasonable steps to securely destroy or de-identify it.

Security

We implement reasonable administrative, technical, and physical safeguards designed to protect your personal information from unauthorized access, disclosure, alteration, and destruction. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.

If you believe your information has been compromised, please contact us immediately using the information in Section 15.

Children’s Privacy

Our website is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us and we will delete such information promptly.

For individuals between the ages of 13 and 17, consistent with California law (Business & Professions Code § 22580–22582), we do not sell the personal information of minors under 16 without affirmative authorization.

Third-Party Links

Our website may contain links to third-party websites, including social media platforms and therapist directories. We are not responsible for the privacy practices of those sites. We encourage you to review the privacy policies of any third-party site you visit.

Changes to This Policy

We may update this Privacy Policy periodically to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will post the updated Policy on this page and update the “Last Updated” date at the top. We encourage you to review this Policy periodically.
